When I am trying to search for a document, the search returns the most current document but all the versions of that document. Is there a way to have the search only return the most current document. We are currently using 3.04.08.

In the 'detailed search' screen you can opt to have all versions included or not. Searching using the text box at the top of every screen should not include all versions. Where did this happen in your case?

I am seeing old versions of documents returned when I use the DMX search box in the module. If I delete an older version, it shows in the search list with a red x, but can still be downloaded. Is there any way—short of hard deleting the older versions—to return only the current version of a document?

It should not do this. Do you use Full Text search in the Quick search (a setting on the options screen)? If so, does switching this off change the behavior? Peter

Peter, thanks for the quick response. The Include Fulltext in QS controlI was enabled, but I tried toggling between enabling/disabling the control and could not see a difference in behavior. The old versions were returned in the search either way. Is there anything else I can check?

There is nothing else that impacts that code segment. What version of DMX are you on by the way? Peter

I'll see what I can do. I need to replicate this behavior before I can debug it. I'm working on a new release (03.05.00) so if I find it, it'll be fixed in that. Peter

Trudy, I'm at a loss here. I've spent hours trying to rebuild this scenario, but I can't get it to show me older versions unless I specifically ask it to. Here is what I do: 1. I upload a text file with textA in it. 2. I search for 'textA' and sure enough it shows up 3. I go to the details of that document and click 'edit' 4. I select a new text file with 'textB' in it for upload, thereby creating a new version and click 'update' 5. I search for 'textB' and it will show me this latest version 6. I search for 'textA' using the DMX search box and nothing shows up. 7. I use the advanced search screen and do the same and nothing shows up 8. I use the advanced search screen and select 'show all versions' and do the same search (content is 'textA') and I get the old version shown Note that in the above scenario I did need to allow some time for Indexing Service to pick up a new document. I used the search panel in the indexing service management panel to verify what I was doing.
Where does the above differ from what you're experiencing? I honestly can't find a place where old versions can be injected without specific saying so. Or are you referring to 'deleted documents'. That is a completely different thing.

I do have the same issue as well. I will try to take a look and see if I can come up with steps to reproduce the problem to help out. But strangely I only get the complaint from one group so it does not seem to be happening for all my installs. So, most likely its related to a specific setting.

Peter, I may have stumbled onto something yesterday that will help Tiphanie, too. After posting a document to both our internal site (it’s been around for a couple of years) and our new external site (the one we are readying for release), I conducted a simple DMX search on both sites. Surprisingly, only the CURRENT version of the document was returned on our "old" internal site, while all versions were returned on the new site (the one that motivated my question in the first place).
Here's what I noticed when I looked at the settings for the two sites: 1. Document Exchange Options > Portal > Show Subcategory Contents: Not checked for internal site Checked for external site
2. Document Exchange Options > AdoSearchSettings No tab for internal site Appears as tab for external site
When I shared this information with our host, he removed the AdoSearch module from our (new) external site. That appeared to fix the problem, and I say "appeared to" because over the past two days I had deleted all documents with older versions and uploaded the current versions again as new, so I have almost no data to for testing. So, if once is always, it looks like that did the trick. I'll have to watch for instances in the future, but I'm optimistic right now.
BTW, the internal site is on 03.02.01 and we did not change the Show Subcategory Contents settings.
I do have another question for you. Is there a way to delete just the old version(s) of a document without deleting the current document as well?
